        The Contracting Authority intends to establish a contract with a suitably qualified and experienced service provider for the provision of an off-site storage facility for healthcare records with file tracking and retrieval capacity. Based on 2017 figures, approximately 45 000 healthcare records were moved to the storage facility and 16 000 were recalled last year.

        Thus, while this contract will primarily concern the storage and retrieval of medical records, it may also be utilised for the storage of any documentary material generated by the Hospital.

        Currently, the Contracting Authority has a legacy arrangement in place for the storage and retrieval of medical records; it is not anticipated that material stored under this legacy contract will be transferred to the new service provider.

      4. Description of the procurement:

        The Contracting Authority intends to establish a contract with a suitably qualified and experienced service provider for the provision of an off-site storage facility for healthcare records with file tracking and retrieval capacity. Based on 2017 figures, approximately 45 000 healthcare records were moved to the storage facility and 16 000 were recalled last year. Additionally, the Contracting Authority will avail of this contract to store material relating to the following hospital disciplines:

        — finance and accounts,

        — central sterile services department,

        — freedom of information,

        — human resources,

        — pathology.

        Thus, while this contract will primarily concern the storage and retrieval of medical records, it may also be utilised for the storage of any documentary material generated by the Hospital. Tenderers are advised that the quantities of healthcare records listed are provided solely for information purposes and constitute no guarantee regarding the volume of service to be procured under this contract.

        Currently, the Contracting Authority has a legacy arrangement in place for the storage and retrieval of medical records; it is not anticipated that material stored under this legacy contract will be transferred to the new service provider.
